The ideal candidate will provide administrative support to the WW Vice President of Quality Management, Sr. Director WW Scientific Affairs, Sr. Director Regulatory Compliance and Sr. Director WW Technical Process Mfg Leader (“Leader’s”).  Will also provide a modicum of assistance to the Leader’s groups.  Performs routine and advanced administrative duties.  Works on assignments that are complex in nature where initiative and independent action to resolve problems and develop recommendations.  Acts independently to determine methods and procedures on new assignments.  Uses ability as an office administrator to contribute to the smooth running of the entire Quality function. 


  • Manage busy calendars that entail the use of judgment to prioritize conflicting meetings and has frequent, last minute changes
  • Answer phones.  Ensures efficient use of Leader’s time by taking messages, redirecting callers to appropriate personnel, or answering callers’ questions.
  • Review and respond to e-mails on Leader’s behalf
  • Schedule travel, including international, on short notice and with frequent changes
  • Manages and coordinates all arrangements for meetings held both internally and externally, including scheduling, attendance, teleconferences, travel, and organizing services associated with meetings such as food and videoconferencing.
  • Serve as the key administrative liaison with external stakeholders and internal members of senior management and their assistants.
  • Works with groups to ensure basic functioning of the departments — distribute mail, order supplies, process new vendors in Aravo, process requisitions and POs in BuySmart, etc.
  • Prepare, submit and manage Expense statements
  • Keep files and Org Charts updated
  • Act as agent of the Quality leader handling requests/situations as appropriate.
  • Gathers and compiles data/information to creates and/or edit correspondence, including letters, memos, presentation materials, reports, newsletters, spreadsheets, etc. 
  • Supports the Leader’s on annual/special projects that requires the utilization of enterprise systems such as Taleo, Performance management, etc.
  • Given limited direction, able to identify appropriate websites and conduct investigations and gather necessary information.
  • Purchases and tracks items using P-Card system (ConcurOne).
  • Ship and received supplies utilizing UPS CampusShip
  • Provides vacation relief for, and occasionally backs-up other administrative assistants.


Required Education & Experience

  • High school diploma/GED required. Specialized administrative/secretarial training is desirable
  • Minimum of 8-eight years administrative experience
  • Minimum of 3-three years supporting a senior level leader
  • Minimum of 3-three years supporting multiple clients
  • Medical Device or similar industry experience preferred.

Required Skills & Knowledge

  • Demonstrated proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, etc.), Visio, Publisher, ConcurOne, BuySmart, Aravo and other software programs
  • Demonstrated proficiency utilizing the internet, databases and other systems to enter and/or extract data.
  • Ability to work Occasional overtime is required.
  • Take charge approach with demonstrated flexibility and ability to deal with ambiguity and stress
  • Ability to proofread work to ensure accuracy and attention to detail.
  • Excellent time management, planning and organization skills with the ability to prioritize and efficiently multitask in order to accomplish a variety of duties by their assigned deadlines
  • Ability to maintain Confidentiality
  • Effective oral and written communication and interpersonal skills necessary to work with, and provide customer service, to a diverse group of stakeholders and associates at all levels.
  • Experience in completing domestic and international travel arrangements and expense reports
  • Proficient analytical, quantitative and problem-solving skills.
  • Effective organization, planning and follow-up skills.
