Job Description Summary

Acts as a liaison for Sr. Leaders at VP and Director level as it relates to meeting requests and managing calendar. Manages and ensures the daily schedule for the Sr. Leader while ensuring key team members have accessibility to leader as needed. Can function independently, making decisions in the absence of the Sr. Leader, regarding meeting requests, deadlines, follow-up issues, etc. Facilitates generation of weekly and monthly reports, coordinates travel and meeting arrangements. Attends meetings, when requested, for the purpose of assisting leaders with their duties/responsibilities. Maintains a system to track all expense activity and reconciles on a weekly basis and within financial guidelines. Provides monthly updates to directors and managers to provide information to assist with decision-making. Prepares and edits all correspondence, PowerPoint Presentations and reports, maintaining a high level of quality, accuracy and confidentiality. Maintains all administrative support systems for the department. Aids the Sr. Leader and respective departments in accomplishing special projects assigned to area. Receives and reviews incoming correspondence and reports, exercising judgement and discretion in determining routing of material and bringing important item(s) to the attention of the Sr. Leader. Facilitates and/or conducts analysis via spreadsheet software tools (i.e., Excel). Gathers and organizes data obtained from various sources in a concise and presentable manner.

Job Description

As part of the IP Law Group, this position will be responsible to provide administrative support to the IP patent professionals and to liaise with the R&D community. Ability to communicate and work through various situations ranging from routine to emergency. Ability to maintain strict confidentiality, exercising discretion and independent judgment on matters of significance. Requires exceptional organizational skills, ability to review/edit and develop presentations and manage multiple calendars. Ability to handle multiple interruptions and adjustments to priorities throughout the day, including the ability to perform administrative work for a variety of people while organizing priorities and meeting deadlines. Must have demonstrated through past job performance the ability to independently organize and administer office procedures and special projects without supervision under pressured circumstances.
