FlowJo, a subsidiary of Waters Corporation in Ashland, OR, is seeking an onsite Office Manager and sales support associate to oversee our office location (40 employees) and provide sales, customer service, and finance support. Duties and Responsibilities
Office Administration
Organize office operations and procedures
Manage relationships with vendors and service providers ensuring that all items are invoiced and paid on time
Maintain organization of office space
Process mail and deliveries
Organize catering for meetings and group meals
Manage kitchen and coffee supplies
Manage office supplies and subscriptions
Plan holiday parties and events
Provide general support to visitors
Manage local home (JoHome) for visitors including scheduling visitors, scheduling cleaning, and stocking basic supplies
Manage Bindle time-off tracking tool
Maintain a safe, secure, and pleasant work environment
Support leadership as needed
Sales Support
Answer phones and transfer to other teams
Answer basic customer inquiries via phone and email
Ship orders and supplies
Process order and payments
Assist with buyer and vendor portal management
Activate and troubleshoot software licenses
Finance Support
Assist with accounts receivable
Deposit payments
Education and Experience
Proven office management, administrative, or assistant experience
Knowledge of office management responsibilities, systems, and procedures
Knowledge of clerical practices and procedures
College degree preferred
Knowledge and Skills
Ability to act independently
Sound judgement
Excellent time management skills and ability to multitask and prioritize work
Attention to detail and problem-solving skills
Strong organizational and planning skills
Strong written and verbal communication
Computer skills and knowledge of office software packages
Proficient in Microsoft Office
Strong Interpersonal Skills
Basic knowledge of accounting procedures preferred
