Job Description Summary

The Sr. Administrative Assistant provides comprehensive support to the VP ISC, Specimen Management (SM), the VP QA, Specimen Management, and the SM ISC Leadership Team. This role is responsible for managing complex calendars, coordinating domestic and international travel, processing expense reports, and organizing high-level meetings and events.

The assistant also plays a key role in preparing professional presentations and managing departmental logistics, including onboarding new hires and facilitating staff meetings.

Job Description

Key responsibilities will include:

  • Proactively manages complex calendars with competing priorities to keep leaders abreast of meetings and tasks and to ensure they have the information necessary to effectively navigate through their day.

  • Processes incoming requests and determines level of importance and urgency and elevates appropriately.

  • Schedules business travel and accommodations and reconciles and maintains expense reports.

  • Monitors email communication for appointments and commitments.

  • Experience using multiple systems such as SAP, BuySmart, Training Systems.

  • Has significant personal interaction with Sr. Leadership and all levels of the organization; must be able to effectively communicate and appropriately represent the organization and this executive.

  • Handles all administrative matters related to meetings, including booking meeting rooms, arranging catering, gathering supplies, ensuring room is equipped appropriately, etc. 

  • Works with other administrative assistants within and outside the SM team in a considerate way to try to manage all the complex calendar demands being presented.  May be responsible for coordination within the business unit such as office moves, ensuring compliance with training and maintenance work orders.

  • Organizes, coordinates and attends staff meetings, as requested, to document all pertinent information either electronically onto a laptop, on flip charts or other forms of note taking.  Tracks and monitors meeting actions.

  • Creates high quality PowerPoint presentations, Excel spreadsheets, Word documents, and maintains org charts

  • As a member of the administrative team, will also be called upon to serve as back up for other executives.

  • Exhibiting expert-level skills with Microsoft productivity suite (Teams, SharePoint, Excel, Word, PowerPoint) combined with strong IT troubleshooting abilities; quickly identify and resolve technical issues while providing clear guidance to team members on technology best practices.

Required Qualifications:

Education & Experience

  • Minimum 5+ years’ experience as an Executive Assistant supporting multiple leaders in a multi-functional, matrixed, fast-paced and diverse multicultural environment, preferably at a progressively responsible and/or corporate level.

  • High school degree required. Bachelor’s degree strongly preferred.

Expected Knowledge, Skills & Abilities

  • Tech savvy - it is crucial to understand and to have a strong proficiency and experience in the use of Microsoft Office Suite (PowerPoint, Word, Excel, Outlook), and the ability to use electronic systems and software applications proficiently. For PowerPoint, must be able to draft from scratch, edit, add animations, charts, etc., and proofread PowerPoint Presentations.

  • Proficient with SAP, Workday and Concur

  • Ability to manage a fast-paced heavy workload, heavy calendar and travel arrangements.

  • Strong interpersonal and communication skills, given the significant contact with senior management and external contacts; experience supporting multiple leaders in a diverse multicultural environment

  • A great teammate with the ability to develop and maintain good working relationships with everyone across the organization and external contacts.

  • Self-motivated, enthusiastic, with an executive presence with the desire and ability to take initiative.

  • A keen sense of urgency in delivering tasks, strong follow-through in prioritizing, coordinating and planning in a high volume fast-paced environment

  • Integrity and discretion in dealing with matters, and protect sensitive and confidential information is crucial.

  • Ability to use independent judgment to determine what requires priority attention, escalation, and directing to the appropriate team member for response or resolution.

  • Ability to anticipate needs and being resourceful in delivering tasks; effectively leverage available resources.

  • A high level of attention to detail and accuracy (proofreading/formatting).

  • Demonstrated ability to assume greater responsibilities as circumstances dictate.
