Augusta Life Sciences SwissCo is seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative and operational support to our EMEA Vice President. This role is pivotal in ensuring the smooth and efficient functioning of executive operations within our dynamic Advanced Diagnostics environment.

Job Description

Main responsibilities will include

  • Manage complex calendars, schedule meetings, and coordinate travel arrangements for executives, including detailed itineraries and expense reports.
  • Prepare and edit correspondence, presentations, reports, and other documents with accuracy and professionalism.
  • Act as a primary point of contact for internal and external stakeholders, screening calls and directing inquiries appropriately.
  • Organize and maintain confidential files and records, ensuring information is readily accessible and secure.
  • Assist with project coordination, research, and data gathering as required by executives.
  • Plan and execute company events, meetings, and conferences, including logistics, vendor management, and budget tracking.
  • Process invoices, expense reports, and other financial documents in a timely manner.
  • Anticipate executive needs and proactively address potential issues.
  • Maintain a professional and welcoming demeanor while interacting with all levels of staff and external contacts.
  • Support ad-hoc administrative tasks and special projects as assigned.

About you

  • Proven experience as an Executive Assistant or similar administrative role supporting senior leadership, preferably within the life sciences or a related industry.
  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and experience with calendar management software.
  • Excellent written and verbal communication skills in English; proficiency in German or French is a significant advantage.
  • Exceptional organizational skills and meticulous attention to detail. Ability to prioritize tasks, manage multiple deadlines, and adapt to changing priorities in a fast-paced environment.
  • Demonstrated ability to handle confidential information with discretion and integrity.

Salary range for the role: 35000€ - 40000€
