Key Responsibilities:
Invoicing Operations
- Create and submit corrective invoices in accordance with legal and regulatory requirements.
- Validate and monitor the successful transmission of all invoices to governmental portals and customers, ensuring full compliance.
- Support troubleshooting for missing, failed, or delayed invoice interfaces.
System & Interface Management
- Monitor and reconcile data flows between ERP systems, middleware, and compliance portals to identify and resolve mismatches, failed transmissions, or validation errors.
- Perform root-cause analysis for recurring interface issues and collaborate with IT teams or external vendors to implement sustainable corrective actions.
- Execute regular reconciliation controls (daily/weekly/monthly) to ensure accurate alignment of invoice status across all systems.
Stakeholder Collaboration
- Work closely with Customer Service, Collections, Local Finance, Tax, and IT teams to resolve invoicing-related issues.
- Provide clear communication and updates to internal stakeholders regarding process changes, issues, and remediation plans.
- Train new team members and cross-functional stakeholders on e-invoicing processes, compliance requirements, and system tools.
Process Governance & Documentation
- Maintain up-to-date Standard Operating Procedures (SOPs), work instructions, training materials, and control documentation.
Continuous Improvement & Projects
- Identify opportunities to streamline invoicing and compliance processes within the QTC framework.
- Support the rollout of new e-invoicing countries, platforms, or regulatory requirements, including mapping, system testing, validation, and user acceptance.
- Contribute to automation initiatives (e.g., bots, workflows, exception automation) to enhance processing efficiency and reduce manual work.
- Participate in global QTC harmonization efforts aimed at standardizing e-invoicing processes across regions and systems.
Qualifications:
- Bachelor’s degree in Business Administration, Finance, Accounting
- Minimum 2 years of experience in multinational company in an administrative role
- Detail oriented
- Good communication and stakeholder management skills
- Problem solving skills
- Knowledge of ERP systems is a plus
