Job Description Summary

Provides administrative and operational support by managing office logistics, recognition programs, vendor documentation, and process improvement initiatives. Supports parts crib and master data functions including inventory control, maintenance planning, system updates, procurement, and vendor coordination to ensure efficient plant operations and cost savings.

First Shift position: 

8 hour days- 8:00am- 4:00pm- Monday through Friday

Duties/Responsibilities:

Essential responsibilities include but are not limited to:

  • Administrative Support

    • Manage payment of local fees, coordinate meal orders, order and maintain office supplies; submit invoices for miscellaneous payments to ensure timely and accurate processing.

    • Manage recognition program

    • Manage list of active Certificate of Insurance

    • Identify, participate, and/or lead projects to improve processes across several functions within the plant.  Maintain tracking report.

    • Process daily outgoing shipping and mail pick up.

    • Answer general plant phone line

    • Maintain various keys for use throughout the plant.

  • Parts Crib/Master Data Support

    • BuySmart Super User: Manage user access setup, provide training and coaching, participate in monthly Super User meetings, generate reports for leadership, research historical purchases, and serve as buyer for team members with or without BuySmart access.

    • Aravo Vendor Master User: Initiate vendor setup, extension, and update requests via ticketing system; coordinate directly with vendors to gather required data; collaborate with the Vendor Master and BD Quality teams to ensure accurate vendor information and assess vendor risk classifications

    • Set up and store new parts, create larger storage locations, and maintain data cleanliness.

    • Responsible for monitoring of Sterilization and Warehouse PMs, including closing out of assigned PMs, creation, revision and removal of PMs as needed.

    • Assist in identifying parts, or additional information, to maintain accurate equipment BOM’s.

    • Update and maintain master data information as necessary, new part request review and submission, and coordinate master data processes and structures with master data owner.

    • Ability to read, and identify possible changes to, AutoCAD drawings.

    • Ability to identify and make recommendations on replacement parts and/or part consolidation to drive improvements.

    • Accountable for generating cost savings to meet identified targets.

    • Assist in maintaining inventories at the lowest levels without adversely affecting efficient production.

    • Participate in inventory reduction efforts.

    • Run MRP and generate requisitions.

    • Maintain accurate inventory system of replacement parts, supplies and tools.

    • Issue parts to cost center or work order.

    • Initiate, maintain and complete the elimination of obsolete parts and supplies.

    • Create and maintain purchase orders and returns.  Review blanket POs

    • Interact / meet with suppliers.

    • Assist with blocked invoices

    • Maintain orderly and clean parts room

    • Mark components according to proper part identification.

    • Pick up, receive and restock delivered material shipments.

  • Serve as back up to Shipping Coordinator

  • Performs other duties as assigned by Team Leader and required to support the needs of the business.

  • Obey all company policies, standards and rules, including but not limited to: Safety policies and rules (including lockout procedures); Quality policies and rules

  • Must maintain regular, punctual attendance.

Education:

  • High School Diploma or GED, required.

Experience:

  • 1+ years’ SAP experience, preferred.

Knowledge, Skills and Abilities:

Required:

  • Ability to direct and coordinate the activities of the parts crib attendants.

  • Strong customer service focus.

  • Ability to lead and to follow instructions.

  • Willingness to identify, lead, and follow through on projects.

  • Very good attention to detail.

  • Strong interpersonal skills.

  • Flexibility & ability to do multiple tasks simultaneously.

  • Team player.

  • Must be able to speak, read and write English

  • Good interpersonal skills

  • Computer skills (SAP, Excel, Word preferred) - Intermediate

Physical Demands: 

  • PCP Level 3: Exerting 20 to 50 pounds of force occasionally, and/or 10 to 25 pounds of force frequently, and/or greater than negligible up to 10 pounds of force constantly.

Work Environment (if applicable):

  • Indoor heated and cooled environment.

  • High speed manufacturing environment.  Must remain alert and focused.

  • May have intermittent exposure to chemicals.

  • When on the production floor, noise is a constant distraction and earplugs must be worn.

  • Safety glasses and safety shoes must be worn when in required areas.

  • Degree of exposure to dust, dirt, heat, fumes, noise, vibration and chemicals.

  • When working outside, any & all physical elements of weather & temperature may be present. Inside, noise is the major distraction.

  • Some physical exertion, including lifting, may be required.
