Job Description Summary

As an Operational Resources Planner within the DS EMEA Professional Services Business Operations Team, you are responsible for the tactical allocation and scheduling of technical resources to support customer and internal projects. You collaborate closely with project managers and department leads to ensure optimal resource utilization, manage risks, and support continuous process improvement. Your role involves data analysis, reporting on KPIs, and maintaining planning tools to drive efficiency and productivity across the organization. You also contribute to training initiatives and short-term scenario planning, ensuring alignment with strategic resource management goals.

Job Description

The mission of this role, as part of the Business Operations Team integrated in the DS EMEA Professional Services, is to identify, allocate and manage the required subject matter resources for customer and internal projects / programs and services.

They will be working in very close collaboration with the Resources & Process Manager to execute the resources management strategy, as well as to support continuous improvement initiatives leading to process optimization and efficiency gains for the department.

The role is reporting to EMEA Business Operations Manager.

Main responsabilities are:

  • Tactical Resource Allocation and scheduling on daily bases: Assigning resources to projects or tasks to ensure timely completion, considering constraints such as budget, staff availability (Install Leads, Field Service Engineers, Diagnostic Solution Experts and Lab Auto Informatics Specialists) and equipment limitations, for the customer and internal projects. Create schedules, draft allocation plans, and ensure that each resource is assigned to the right project at the right time.

  • Data Analysis: Using analytical tools and software to track resource usage, identify trends, and make informed recommendations for improvements.

  • Tools: Maintain, use and continuously improve Processes, tools & templates for resource management (planning & allocation)

  • Collaboration: Working very closely with project managers, department heads, and other stakeholders to understand project scopes, define and align on resource demands.

  • Risk Management: Identifying potential bottlenecks or resource shortages and developing contingency plans to mitigate risks. Creating “what if” scenarios to support risk management and contingency planning

  • Reporting: Preparing regular reports on resource utilization, project progress, and any deviations from planned resource allocation for management review.

  • Continuous Improvement: Recommending, support and implementing process improvements to optimize resource planning and allocation.

  • Coordinate resource allocation across functions / with all departments involved in project management within the Professional services Department & TS.  Advise & provide input and critical data on priority setting for business decisions and resource allocations & utilization

    • In his/her daily scope, identify optimization opportunities and associated business impact to reduce costs and increase productivity & efficiency.

    • Lead the weekly resources meeting and responsible for the timely process outcome.

  • Provide data for defined KPIs for monitoring for the program & project progress related to Resources Management and resource utilization.

    • Update data & tools for specific KPIs for resource management of field implementation teams within DS projects & programs (internal and external)

    • Update data & tools for specific KPIs for resource management within the DS EMEA Professional Services

    • Support continuous improvement process for the KPIs

  • Supportassociate training programs

    • Based on Internal Resource management strategy, provide guidance on workload & team management to the Resources & Process manager, Professional Services department & TS stakeholders.

  • Can be involved as backup for short term (3 to 6 months) Scenario planning.

  • A good understanding of operational workflows

  • Proficient IT skills in Word, Excel, PowerPoint, MS project and Smartsheet

  • Knowledge of KPIs like utilization, throughput, and on-time delivery

  • Understanding requirements coming from QMS.

  • Time management

  • Experience in the project management environment will be highly appreciated.

  • Key strengths: execution excellence, detail orientation, responsiveness, short-term forecasting, cross-team coordination

  • Global Technical Services and eventually R&D/ Manufacturing.
