As directed by the Quality Manager, the Specialist is accountable for support of the continued development, improvement and implementation of the Quality Systems as well as maintaining compliance with regulations, standards, and corporate requirements. This position is responsible for the coordination and management of the document control and change management process and related systems, including DMS - Document Management System. The Quality System Specialist is the subject matter expert in these areas and has the local responsibility for ensuring complete and consistent implementation of changes. The Quality System Specialist will also be accountable for assisting with the administration of the learning management system as appropriate.
The Quality Document Systems Specialist shall assist with developing and implementing programs to establish and maintain quality standards of existing products and services, as well as developing programs to focus employees on quality improvement. The Specialist II will aid in developing policies, procedures and methods to control and improve quality systems.
Responsibilities
Change Coordinator – Responsible for governance of the change management process to ensure accuracy, efficiency, and compliance.
Works with project leaders and team members to determine change implementation strategies and to identify/ collect controlled documents and SAP data objects that will be impacted by proposed changes.
Ensures that change packages are complete for release/ implementation according to strategy and system requirements. Manages workflow tasks and verifies that appropriate individuals are assigned to tasks in the process.
Responsible for assigning new document numbers for various business units that may or may not use the same document management system.
Responsible for processing requests for employees in the current learning management system, assisting users and managers establish appropriate training objectives.
Responsible for identifying and implementing improvements to the overall document control and change management process.
Responsible for the quality and accuracy of the Quality records including document security.
Create, review and revise documentation procedure according to standard operating procedures.
Process, distribute, and maintain controlled documentation using a document control system.
Process documents for revision and approval.
Organize the routing of documents throughout the process from conceptualization, approvals, and distribution.
Maintain Quality Systems SharePoint site
Upload training to LMS when new documents are released.
Assist staff on document control processes and procedures.
Support users of the Quality system via email, phone and in-person requests.
Qualifications
High School Diploma or GED required; Associate's or Bachelor's Degree strongly preferred
Minimum 2 years of experience with quality systems and document control systems
Proficient in MS Word and Excel
Experience with SAP preferred

Salary Range Information
