About the role
As Tender Office Representative you will be responsible for activities related to Tenders, Offers and Awarded Tenders. The role involves the operations vital to the accurate drawing up of offers for the participation in tenders or submitting offers both in Private and Public Sectors, finalized at supplying the company products in view of the acquisition of the highest level of contracting.

This is a supporting role within the organization and a key player within the team. You will establish and reinforce a company culture defined by dedication to customers, quality, performance, results, collaboration, and accountability.

Job Description

Main responsibilities will include:

Tender Management:

  • Research and identify potential requests for offers on various platforms.
  • Manage, draft, submit, and monitor tenders in the Public Sector or through ESIDIS platform.

Documentation and Compliance:

  • Ensure completeness and compliance of tender documents with specifications.
  • Prepare technical, administrative, and economic documentation for assigned tenders.

Coordination and Communication:

  • Liaise with commercial divisions for decoding and pricing information.
  • Coordinate with the Tender Office Supervisor and communicate tender results.

Legal Compliance and Objections:

  • Handle administrative objections and appeals in collaboration with company lawyers.
  • Ensure consistency of data on JDE and WebTender systems.

Archiving and Documentation:

  • Manage physical and digital archives within the area of responsibility.
  • Maintain supporting documents issued by Public Bodies during tender stages.

Quality Assurance and Environmental Management:

  • Ensure compliance with 14001 provisions, including recycling activities and accurate equipment use.
  • Manage and maintain archives with Quality Assurance Certificates and Marketing Material for all handled materials.

About you

  • 2 + years of working experience in Tender
  • English Proficient
  • Excel advanced proficiency
  • Bachelor Degree or equivalent experience
  • Good knowledge of JDE/SAP application platform or similar
  • Familiarity with electronic public and private procurement platforms (ESIDIS, COSMOONE, I-SUPPLIES, INFONEWS, HERMES, etc.) is an asset
