Order to Cash Specialist

Job Description Summary

As part of a dynamic team, the Order to Cash Specialist would be responsible for the order to cash process dedicated for the BD Cato, building a strong relationship Cato related stakeholders. The OTC Specialist can be exposed to multilingual BD Cato order or service claim handling and administrative activities, depending on internal demand and customer needs. OTC Specialist should always look for improvements and efficiencies.

Primary role responsibilities:

Customer Facing

  • Ensures that the customer expectations are managed and satisfaction level is kept high
  • First and/or second point of contact for receiving BD Cato orders from customers and from remote Customer Care and Sales teams
  • Handles BD Cato orders by ensuring a prompt and accurate data collection and verification, validating in an efficient manner in line with internal processes
  • Spots & actively reports unusual events captured during customer claims and BD Cato orders handling.

Administrative work

  • Ensures all documents/reports are forwarded to the appropriate stakeholders
  • Ensures all administrative tasks are completed upon supervisor’s request
  • Processes invoices and credit notes in line with policies
  • Handles product returns and replacements in line with policies
  • Issues order confirmations to the BD Cato Stakeholders upon reception of purchase order from Customers
  • Enters new orders into Cato Orderbook
  • Issues invoices for BD Cato items in LOTS (BDBEN4) after receiving confirmation from the GCS team
  • Updates SFDC stages connected with the OTC process (order received, and revenue recognized)
  • Manages customers’ requests and complaints related to invoices (project and maintenance invoicing)
  • Issues invoices for service contracts (yearly renewal) with guidance from GSC team
  • Provides GCS team access to all invoices

Performance

  • Works in line with defined Service Level Agreements and accurately uses systems
  • Works efficiently to reach department objectives
  • Ensures a high quality of customer servicing in oral/written interactions

About you

  • University degree and/or relevant internal experience
  • Relevant experience in vendor relationship management, Customer Service and/or Supply Chain
  • Perfect command of English. German is a plus
  • Good knowledge of all MS Office tools, other systems (ideally SFDC and LOTS)
  • Experience in working in multi-cultural environment
  • Strong customer orientation and problem-solving skills
  • Flexible attitude and ability to handle changing priorities
  • Handles large volumes of work efficiently
  • Acts timely and appropriately on issues
  • Continues to perform effectively and efficiently despite time pressure and/or large volumes of work
  • Asks questions in case of insufficient information
  • Detail orientated and analytical
  • Knowledge of e-mail application
  • Excellent communication skills with the ability to communicate at all levels
